Deadline for the presenting author to respond to the invitation and register for AUA2025

Tuesday, February 18, 2025

Abstracts available online

Friday, April 11, 2025

Registration

The presenting authors of accepted abstracts for poster, podium, and video presentation must attend the 2025 Annual Meeting in person in Las Vegas. The presenting author is required to respond to the invitation to present by February 18. Upon acceptance of the invitation, the presenting author must register to attend AUA2025. Failure to register by February 18, 2025, will forfeit the opportunity to present onsite and the abstract will be withdrawn from publication in The Journal of Urology®. The presenting author can be changed up until February 18, but this new author also needs to be registered to be in attendance. After this deadline, if a presenting author is unable to attend, the abstract will be withdrawn.

Communications

During submission, AUA staff are authorized to communicate only with the presenting or corresponding author. Notifications of whether an abstract has been accepted will be sent to the presenting author. After acceptance, AUA staff will communicate only with the presenting author regarding any abstract-related matters, including requests for withdrawal, which must be submitted in writing. Any queries or requests from co-authors or non-authors, including pharmaceutical companies or medical communications companies, must go through the presenting author. Any attempts to contact AUA directly by such individuals will not be responded to.

To ensure that you receive email notifications from AUA regarding your abstract, please add AUA@mirasmart.com and speakers@AUAnet.org to your safe senders list.

Eligibility

AUA membership is not required for abstract submission.

Prior to the AUA Annual Meeting, the contents and conclusions of the abstract must not have been presented at or published in conjunction with any scientific, medical, or educational meeting with the following exceptions:

  • Abstracts previously accepted to AUA Sectional meetings or select urologic sub-specialty societies are eligible for submission even if presented or published under the scientific, medical, or educational outlets of those meetings. Authors are strongly encouraged to provide updated data in the abstract submitted to the AUA Annual Meeting.
  • Study results may be presented at closed (non-public) meetings under the condition that no meeting materials are publicly disseminated in any format.

In addition, the contents and conclusions of the abstract must not be published as a full-length research article in a scientific, medical, or educational publication (in any medium), in whole or in part, before the abstract is published online by the AUA. Full-length pre-prints (non-peer-reviewed research articles published online for public dissemination and public comments are permitted before the abstract is submitted.

Any violation of these policies may subject the abstract to rejection or removal from the AUA Annual Meeting.

The Program Committee has the authority to reject submissions that are incomplete, deemed purely for marketing purposes, and/or written in a language other than English. Duplicate submissions by the same authors and based on the same study population or data will also be rejected.

Abstract Submission

  • Completion of an abstract submission affirms that all listed authors have agreed to its submission for presentation at the AUA Annual Meeting and publication of the abstract in The Journal of Urology® supplement. Submission of an abstract constitutes the author's commitment to present the abstract as accepted. The author/presenter is responsible for any expenses associated with the preparation, submission, and presentation of the abstract. Registration fee waivers and travel grants are not available for abstract presenters.
  • The submitting author will be required to complete a non-exclusive license agreement, as the AUA may capture accepted abstract presentations and use them as deemed appropriate for educational purposes.
  • Revisions can be made by logging into the submission site before the deadline. The submitting author must ensure that the abstract status is "successfully submitted" after any changes are made.
  • Revisions to the abstract content, including authorship, will not be accepted after the submission deadline. It is the responsibility of the submitting author to ensure the abstract is complete and free of spelling, grammatical, and scientific errors.
  • All completed abstract submissions are peer-reviewed and graded individually based on scientific merit and originality.
  • Abstracts not selected for the AUA Annual Meeting may be considered for presentation at an appropriate International Society meeting, held during the AUA Annual Meeting, and will appear only in the program of those sessions. If you do not want your abstract to be considered for presentation at an International Society meeting, please check the indicated box in the submission form.

Preparing Your Abstract

Select the most appropriate category for the abstract. Please note, the Program Committee has the authority to recategorize an abstract.

Authors

  • Required fields for each author: First name, last name, email address, affiliation, city, state (U.S. only), and country. The submitting author must provide a unique email address belonging to each author.
  • Do not include credentials (i.e., MD, PhD) in the name field. Please maintain consistency in authors' names across multiple abstract submissions.
  • Though not required, please include the AUA ID for each author who has one.
  • One author must be designated as the presenting author. Presenters are not permitted to have financial relationships with ineligible companies (formerly commercial interests) that the ACCME would deem to be that of an owner or employee.

Abstract Title

The title should clearly define the topic and contain no abbreviations. For professional consistency, titles must be in sentence case and not bolded, underlined, italicized, or written in all caps or lowercase letters. Titles are limited to 255 characters, including spaces.

The AUA will ensure abstract titles are properly formatted for the various publications including The Journal of Urology®.

Abstract Body

The text is limited to 2,280 characters, not including spaces. It is optional to include a maximum of two figures or graphics. Each figure or graphic counts as 225 characters.

The body must be informative and detailed. The following sections are required:

  1. Introduction and objectives
  2. Methods
  3. Results
  4. Conclusions (Indicate the major new findings of the study)
  5. Source of funding – This field is required for submission. Authors must fully disclose all funding sources. If there is no support, please list “None”.

The inclusion of specific outcomes data is necessary for all abstracts; this also applies to Trials in Progress, which must supply at least preliminary results to be eligible for consideration. The AUA will reject abstracts with no listed results or abstracts with a statement that reads, "Results will be discussed".

Standard abbreviations: The full term should be written out during its first use, followed by the abbreviation in parentheses. Thereafter, the standard abbreviation may be used.

Proprietary drug names: It is not permissible to use proprietary drug names. Generic names must be used whenever possible.

Disclosures

Prior to participating in educational programs, presenters must disclose all financial relationships with ACCME-defined ineligible companies existing within the past 24 months. An ineligible company is defined as one whose primary business is producing, marketing, selling, re-selling, or distributing healthcare products used by or on patients. The AUA COI Review Work Group will make a determination of which relationships are relevant and require mitigation.

Presenters are not permitted to have financial relationships with ineligible companies (formerly commercial interests) that the ACCME would deem to be that of an owner or employee. Owners are defined as individuals who have an ownership interest in a company, except for stockholders of publicly traded companies, or holders of shares through a pension or mutual fund. Employees are defined as individuals hired to work for another person or business (the employer) for compensation and who are subject to the employer's direction as to the details of how to perform the job.

Withdrawal Requests

The submitting author may return to the abstract submission site to delete their submission at any time before 11:59 p.m. ET on November 6. After this date, requests to withdraw an abstract must be sent to speakers@AUAnet.org. Please include the abstract number, title, and reason for withdrawal. All co-authors must be copied on the communication. Requests which do not include all authors will not be processed.

Accepted Abstracts

The AUA Program Committee will determine the format of the presentation and the AUA will inform the presenting author of the format at the time of acceptance notification. An individual may not serve as the presenting author on more than 5 abstracts accepted for presentation at the Annual Meeting.
