By signing the 2025 AUA Annual Meeting (AUA2025) Application and Contract for Exhibit Space (Contract), Exhibitors agree to abide by all requirements of the Terms, Conditions and Rules (Terms) of the Contract, Exhibitor Prospectus (Prospectus), Exhibitor Rules and Regulations (Rules) enclosed herewith and any regulations for exhibits by The Venetian Convention & Expo Center (The Venetian) for the 2025 AUA Annual Meeting in Las Vegas, NV, over the dates of April 26 – 29, 2025 (Show). Exhibitors must at all times have one or more responsible individuals present in their booth who are knowledgeable about the Contract Terms, Exhibitor Prospectus, Exhibitor Rules and Regulations and The Venetian Convention & Expo Center Exhibition Regulations to ensure compliance. The signer of the Contract also agrees to share the Terms, Prospectus and Rules, enclosed herewith, with all representatives who will staff the exhibit space in Las Vegas, NV.

All requirements of the Terms, Prospectus, and Rules will be enforced without exception. Any violations of these exhibit requirements will be addressed by AUA Show Management (Show Management).

Annual Meeting Shipping Advisory

IMPORTANT: DIRECT SHIPMENTS WILL NOT BE ACCEPTED PRIOR TO THURSDAY, APRIL 24, 2025.

Freight needed prior to Thursday April 24 MUST be shipped to the GES Advance Warehouse.  The Advance Warehouse will accept shipments between March 28 and April 11, 2025. Shipments received outside of this window will be subject to freight surcharges. More information, including shipping labels, can be found in the GES Exhibitor Service Kit.

Exhibitor Space Assignment Policy Changes

  • Exhibitors shall not make a false or misleading representation on their application of the products or services they intend to show in their space.
  • Exhibitors may not, on their own initiative, relocate to any other booth space than the one assigned by AUA. Exhibitors may request permission from the AUA Exhibits Manager to occupy a vacated or unused booth space.
  • Additional Priority Point opportunities have been added for each session of the Bioskills Lab (3 points) and each day for Skills Enhancement Workshops (5 points)

Booth Activity Policy & Procedure Changes

  • There is no longer a limitation on the time window that alcohol can be distributed.
  • Any games of chance (ex. raffles, door prizes etc.) must obtain a gaming license from the State of Nevada
  • High Risk Activities require different insurance limits required by The Venetian. These activities include: the use of animal products; the use of lasers, ultrasounds, and other imaging equipment; and the presence of heavy machinery such as cars or trailers.

  • Booth Design and Construction Changes
  • Column Guidance
  • There is no longer a 2' setback limitation for all booth configurations for structures and counters

Exhibitor Event Policy Changes

  • Administrative Fees for all Exhibitor Events
  • Plenary Session Presenters/Moderators may now give a live presentation at an Official AUA Non-CME Industry Program

Sponsorships and Promotions Changes

The following update has been made to our Advertising Policy:

  • The AUA will not allow promotional opportunities within a 5-mile radius of the Convention Center. This prohibition includes, but is not limited to those at the airport, on billboards/moving billboards, buildings/building signs, taxis, and buses.
  • The prohibition specifically includes (but is not limited to) buildings facing the Convention Center. The AUA will offer some opportunities outside the Convention Center that will be available to exhibitors on a first-come, first-served basis. As each annual meeting host city offers unique promotional opportunities, exhibitors are encouraged to contact the AUA to consider adding new sponsorship and promotional opportunities to its menu of offerings. Violations of this policy can result in a loss of ALL accumulated priority points.
